Generating a seal code is the core action for securing a document. This process creates a unique, permanent, and verifiable link between your professional identity, your seal, and a specific document. This guide explains the requirements and steps for generating a new code.
✅ Prerequisites for Generating a Code
Before you can generate a seal code, your account must meet a few key requirements to ensure security and proper function.
Please ensure you have completed the following:
- You must be logged in to your VerifyThisSeal.com account.
- Your identity must be successfully verified.
- You must have at least one approved professional seal on your "My Seals" page. This can be a seal you own or one that has been delegated to you by another user.
- The owner of the seal you intend to use must have an active subscription.
📝 How to Generate a Seal Code
Follow these steps to create a new, unique code for a specific document. Review all information for accuracy before generating, as the record is permanent.
- Navigate to the Generate a Seal Code page from the main menu or go to VerifyThisSeal.com/Generate.
- Using the Select a Seal to Use dropdown menu, choose the professional seal that you are applying to the document. The list is grouped by seals you own and seals that are delegated to you.
- (Optional but Highly Recommended) Fill in the Identifying Characteristics fields. These details will be displayed on the verification page and are what the public will use to cross-reference and confirm they have the correct document. Be specific (e.g., Project Name, Client, Address, Document Type, Sheet Number, Revision, Date, or your firm's internal project number).
- (Optional) Decide if you want to check the box for Show my contact information.
- Default (Off): Your contact details remain private. Verifiers can contact you through a privacy-preserving form on our platform.
- On: Your name, email, and phone number (from your user profile) will be publicly displayed on the verification page for this specific code.
- Click the Generate Code button.
After clicking the button, you will be taken to a success page confirming the new code has been created.
✅ Understanding the Success Page
Upon successful generation, the page will provide you with the new code and several tools to help you apply it to your document.
The success page includes:
- Your New Code: The unique ten-digit code is displayed clearly, along with the full verification URL (e.g.,
www.verifythisseal.com/RZD-X35D-M4X
). - Copy Buttons: Use the Copy URL and Code or Copy Code Only buttons to easily copy the information for pasting into your documents.
- Generated Seal Image (Beta): A downloadable image of the URL and code is provided. You can drag-and-drop or download this image to place it on your digital documents.
- Next Steps: Buttons to immediately Generate Another Code or navigate to the Manage My Codes dashboard.
🛑 Potential Issues and Limitations
If you are unable to generate a code, it is likely due to one of the following reasons.
- No Approved Seals: If you have not yet added a seal or your seal is still pending approval, you will see a message prompting you to visit your My Seals page to add a seal and await its approval.
- Inactive Subscription: If you select a seal whose owner has an inactive subscription, a warning will appear. Delegates cannot generate codes for a seal owner with an inactive subscription. Owners will be prompted to renew.
- Permanent Record: Once a code is generated, the identifying characteristics you entered are permanently associated with that code and cannot be edited. Please review all details for accuracy before clicking "Generate Code." It is advisable that you or your firm establish policies and procedures for what details should be provided.
🔒 Privacy and Contact Information
You have granular control over your contact information for every code you generate.
- The "Show my contact information" setting is configured on a per-code basis. You can choose to display your information for one code and hide it for another.
- You can change this visibility setting for any code at any time from the My Codes dashboard, even long after the code has been generated.
